"Setting up University Staffmail or SMS mail on the Apple Iphone or Ipod Touch

Introduction This is a set of instructions for adding Staffmail or SMS mail as an email account on the Apple Iphone or Ipod Touch. It assumes that, on your Iphone or Ipod Touch, you have wireless internet access into which you are already logged in.
Initial Account Setup 1. Press ‘Settings’ and then ‘Mail’. 2. Choose ‘Add Account’ and ‘Other’. 3. ‘IMAP’ should automatically be selected and is the required type for Staffmail. If it is not, please select it. 4. Press ‘Name’ and type in your full name. 5. Press ‘Address’ and type in your Staffmail or SMS mail alias, e.g. Gav.Anderson@ed.ac.uk 6. Press ‘Description’ will copy the above email alias into that box. Leave this as it is.
Mail Servers 7. Scroll down to ‘Incoming Mail Server’, press ‘Host Name’ and type in imap.staffmail.ed.ac.uk if you are using Staffmail or imap.sms.ed.ac.uk for SMS mail. 8. Press ‘User Name’ and type in your University Username (UUN). 9. In ‘Password’, type in your EASE password. If you haven’t registered for EASE before, please go to http://www.ease.ed.ac.uk/register for more information. 10. Scroll down to ‘Outgoing Mail Server’, press ‘Host Name’ and type in smtp.staffmail.ed.ac.uk if you are using Staffmail or smtp.sms.ed.ac.uk for SMS mail.
11. Press ‘Save’ (no User Name or Password are required for the SMTP server here). 12. The Iphone or Ipod Touch should begin the process of ‘Verifying IMAP account information’ and eventually come up with the message ‘Cannot Connect Using SSL: Do you want to try setting up the account without SSL?’ Choose the option ‘No’, press ‘Save’. 13. A message will appear advising ‘This account may not be able to send or receive emails. Are you sure you want to save?’ Choose the option ‘Save’, press the backwards icon at the top left entitled ‘Settings’ to go back to the main settings list. 14. Important: At this stage, press ‘Mail’ then the name of your university account, scroll to the bottom of the page and click ‘Advanced’. In these advanced settings, scroll to the bottom of the page and confirm that the option ‘Use SSL’ under the ‘Outgoing Settings’ is switched to ‘Off’. No other settings need to be made in this section.
Virtual Private Network (VPN) Setup 15. To authenticate the Iphone or Ipod Touch for use with the University’s Outgoing (SMTP) email server, the phone needs to be part of the University network. This is achieved by using a Virtual Private Network (VPN).
Note 1: You only need to switch the VPN on if you want to send email. If you simply wish to read your emails, you can leave the VPN off.
16. To register for the University VPN, go to https://vpnreg.ucs.ed.ac.uk/ease/selfreg.cgi, log in via EASE, create a password and put it in both boxes (it should be 7 characters or more), tick the box at the bottom to accept the University’s regulations and click ‘Register’. You should receive a message advising the registration was successful.
Note 2: This registration page also registers you for Edinburgh University wireless access. If you are at the University and need to use its wireless service with your Iphone or Ipod Touch, when you connect you will be presented with the wireless login page (https://wlangate.net.ed.ac.uk/login.pl) and can log in with the same credentials you registered for the VPN.
17. Back on the Iphone or Ipod Touch, to set up the VPN, in the main settings list, press ‘General’, scroll down and choose ‘Network’, press ‘VPN’ and then
‘Settings’. 18. Press the option ‘PPTP’, tap ‘Server’ and type in vpngate.net.ed.ac.uk 19. Press ‘Account’ and enter your Universal Username (UUN). 20. RSA SecurID should already be set to ‘Off’ and need not be changed. 21. Press ‘Password’ and enter the VPN password you had registered. 22. Set the ‘Encryption Level’ to ‘Auto’. The rest of the seetings in the VPN section on the device do not need to be changed (the ‘Send all traffic’ option is set to ‘On’ and the ‘Proxy’ is set to ‘Off’). 23. Press ‘Save’ to go back to the previous screen. 24. Move the VPN slider to ‘On’ and it should go through the process of authenticating your Iphone or Ipod Touch on the University network before showing its Status as connected. 25. This VPN slider is also available at the top of the main settings list (found by click the ‘Settings’ button on the Iphone or Ipod Touch homepage) to save you having to navigate all the way through to the ‘Network’ settings each time you wish to switch on the VPN.
Accessing Your Staffmail or SMS mail 26. Press the ‘Mail’ button and, if you do not arrive there directly, as you may not if you already have other email accounts set up, navigate with the arrows at the top left back to the ‘Accounts’ list. 27. Press the newly-created Staffmail or SMS mail account which has your email alias as its title. The device should check for any folder structure to be found in your Staffmail or SMS mail account and should display the various folders. 28. Press ‘Inbox’ and the device should check for the mail in your Staffmail or SMS mail inbox and display it. 29. Once again, if you then want to write and send an email, the VPN must first be switched on.
Summary The essential processes to go through each time you wish to access your Staffmail or SMS mail on the Iphone or Ipod Touch (once all the above has been set up) are to make sure you have an internet connection and are authenticated to use it and, if you wish to send emails from the device, remember to turn on the VPN.
